AI meeting notetaker turned company-wide meeting knowledge base, with an API, MCP server and agentic chat
Otter.ai is an AI meeting assistant that records, transcribes and summarizes Zoom, Microsoft Teams and Google Meet calls and makes the history searchable across a company. It is for sales, customer and operations teams that want meeting content pushed into CRMs and other AI tools, without anyone retyping notes.
Otter.ai, founded in 2016 and led by CEO Sam Liang, started as a transcription app and now sells itself as a corporate meeting knowledge base. Its notetaker joins Zoom, Microsoft Teams and Google Meet calls, or records through a desktop app without a bot in the meeting, then produces transcripts with speaker identification, summaries shaped by meeting type, and action items. On October 7, 2025 Otter launched an enterprise suite: a public API with webhooks (Enterprise plan) for pushing meeting data into systems like Jira and HubSpot, an MCP server that exposes Otter data to outside AI models such as Claude, and an agentic AI chat that searches a company's meeting notes and presentations and can pull in CRM context. The same release added HIPAA compliance, admin controls and granular retention policies. Otter's trust center lists SOC 2, GDPR, HIPAA, CCPA, VPAT and TX-RAMP Level 2. Otter passed $100 million in annual recurring revenue in 2025, reports that more than 40 million people have used its products, and in October 2026 took $320 million in non-equity growth financing from General Catalyst's Customer Value Fund, according to Tech Startups. Its prior equity funding was about $73 million, including a $50 million Series B led by Spectrum Equity in 2021. In August 2025 a class-action lawsuit alleged Otter recorded conversations without participants' consent and used them for training; Otter's CEO declined to comment on the case. Competitors include Fireflies.ai, Granola, Fathom and the built-in notetakers in Zoom and Microsoft Teams.
A revenue operations or sales enablement leader who wants every customer call transcribed, summarized and synced to Salesforce or HubSpot across a large team.
A searchable record of the company's meetings that reps, managers and outside AI tools can query through chat, the API or the MCP server.

- ✓Botless desktop recording
A desktop app records meetings without a bot joining the call, under enterprise controls over what gets captured.
- ✓Enterprise admin and compliance
SSO, SCIM, domain capture, activity logs, retention policies and a HIPAA add-on give IT central control over recorded data.
Capabilities
Use Cases
- •Sales call capture to CRM
Reps' discovery and demo calls are transcribed and summarized, then next steps sync to Salesforce or HubSpot without manual entry.
- •Company meeting knowledge base
Employees ask the AI chat what was decided across past meetings instead of hunting for recordings or asking colleagues.
- •Feeding meeting context to AI assistants
An internal Claude deployment reads Otter transcripts through the MCP server to draft follow-ups or account briefs with real context.
- •Customer success handoffs
Account managers review searchable call history and summaries before renewals, so context survives when an account changes owners.
Ideal For
Best For
- ✓Sales teams that want call notes and next steps written to Salesforce or HubSpot automatically
- ✓Organizations building a searchable archive of customer and internal meetings across Zoom, Teams and Google Meet
- ✓Teams that want meeting history available to Claude or other assistants through an MCP server
- ✓Healthcare and public-sector buyers that need HIPAA (as an add-on) or TX-RAMP Level 2 on a meeting tool
Not Ideal For
- ✗Organizations in all-party consent jurisdictions or with strict recording policies that are not ready to manage bot consent; the 2025 class action centered on non-account participants being recorded
- ✗Companies under 100 seats that need SSO or SCIM, since both require a minimum 100-user license
- ✗Microsoft 365 or Zoom shops that already pay for Copilot or AI Companion and only need basic summaries

Market Analysis
Pros
- ✓Meeting platform neutral: one notetaker across Zoom, Teams and Google Meet
- ✓MCP server is available on the free plan, so meeting data can reach Claude and other assistants without an Enterprise contract
- ✓Broad compliance list in its trust center: SOC 2, GDPR, HIPAA, CCPA, VPAT and TX-RAMP Level 2
- ✓Established revenue base (over $100M ARR in 2025) compared with younger notetakers
Cons
- ✗An August 2025 class action alleges Otter recorded private conversations without consent and used them for training; the CEO declined to comment to TechCrunch
- ✗Otter's notetaker asks the host, not every participant, which leaves consent management to the customer
- ✗Transcripts can capture pre- and post-meeting small talk, a privacy concern TechCrunch raised about the company-wide knowledge base
- ✗SSO and SCIM require a 100-user minimum and the API is Enterprise only, which pushes mid-size teams to a custom contract
